Southeast Gravel – 2026 Belgium Cycling Camp Terms and Conditions

Overview

Southeast Gravel will host two exclusive week-long cycling camps in the historic and scenic

Flanders region of Belgium during 2026. Each camp is limited in size to ensure a premium,

immersive experience. These Terms and Conditions outline the payment structure,

cancellation policy, and participant responsibilities. By registering for the camp,

participants agree to all terms outlined below.

Camp Registration and Payment Terms

• Camp Cost: The total cost for the 2026 Belgium Cycling Camp is $5,000 USD per

participant.

• Non-Refundable Deposit: A $350 deposit is required at the time of registration to secure

your spot. This deposit is non-refundable under all circumstances.

• Payment Schedule: The remaining balance of $4,650 will be charged in five equal monthly

installments of $930, beginning the month after the deposit is received.

• Payment Method: Payments will be automatically processed using the payment method

provided at registration, unless otherwise arranged in writing with Southeast Gravel.

• Late or Failed Payments: If a scheduled payment is declined or fails to process, Southeast

Gravel reserves the right to apply a late fee or cancel the reservation if payment is not

resolved within 10 days.

Cancellation Policy

• The initial $350 deposit is non-refundable, regardless of cancellation reason.

• Cancellations must be submitted in writing via email to [email protected].

• If cancellation is received:

- More than 120 days prior to camp start: All payments made, minus the non-refundable

deposit, will be refunded.

- 60–120 days prior to camp start: 50% of payments made (excluding deposit) will be

refunded.

- Less than 60 days prior to camp start: No refunds will be issued.

• If Southeast Gravel cancels the camp due to unforeseen circumstances (e.g., government

restrictions, travel bans, etc.), participants will be offered a full refund including deposit, or

the option to transfer to a future event.

Participant Responsibilities

• Participants are responsible for arranging their own airfare to and from Belgium.

• Participants must ensure they have a valid passport, and if required, obtain a visa for

travel to Belgium.

• Travel insurance (including medical and trip cancellation coverage) is strongly

recommended and may be required.

• Participants must be in suitable physical condition for sustained daily cycling and must

supply a well-maintained bicycle or rent one through an approved partner.

• By registering, participants acknowledge and accept the risks associated with cycling,

including the potential for injury or unforeseen events, and agree to sign a liability waiver

prior to the camp start date.

Liability and Insurance

Southeast Gravel and its affiliates are not responsible for personal injury, property damage,

or loss during the camp. All participants will be required to sign a release of liability and

assumption of risk waiver before the camp begins. Failure to do so will result in removal

from the camp without refund.

Participants are encouraged to carry comprehensive travel insurance that covers medical

emergencies, trip cancellations, delays, and loss or theft of personal property.

Code of Conduct

All participants are expected to uphold respectful, responsible behavior. Southeast Gravel

reserves the right to remove any participant from the camp, without refund, for behavior

that jeopardizes the safety, enjoyment, or well-being of other attendees or staff.
